One night. Every detail accounted for.

An event has one chance to go right. Guests arrive within minutes of each other, talent needs a clear path and every corner of the venue matters, often in a space you have only had for a day.

Vigilo plans and delivers security for fashion shows, launches, galas and private celebrations, protecting guests, talent and hosts while keeping the evening flowing exactly as you designed it.

Plan your event security

Your event

Invisible to guests, indispensable to you

Your guests are there for the occasion: the show, the launch, the celebration. They should remember how it felt, not how many security staff they passed on the way in.

That takes planning long before the doors open.

We work with your producers, venue and guest list team from the earliest stage, learning the running order, the people who matter most and the moments that need protecting. On the night, our team works within your plan, looks the part and stays a step ahead.

  • The event runs to time, guests feel at ease and you are free to focus on hosting.

Event services

From the first arrival to the last car home

A catwalk show, a product launch and a private birthday party share very little except the need for careful timing. We shape each team around the format, the venue and the guests, and adjust it as the event moves from arrivals to the main moment and on to departures.

  • Event security teams

Smartly presented officers, selected and briefed for your event. They keep entrances, back-of-house areas and key spaces secure while helping guests find their way and enjoy the occasion.

  • Arrivals, guest lists and accreditation

The door sets the mood for the night. We manage guest lists, wristbands and accreditation with your team, keeping queues moving and uninvited guests out without spoiling anyone's arrival.

  • Talent, VIPs and principals

Models, performers, speakers and high-profile guests need to move through a venue safely and on cue. We plan their routes, holding areas and timings, and work alongside any personal protection teams they bring.

  • Galas, launches and private parties

Whether it is a black-tie dinner, a press launch or a celebration at home, we match our presence to the tone of the evening, from a visible welcome at the door to discreet cover throughout.

  • Event control and coordination

A single point of control keeps everyone connected. Our supervisors stay in contact with your producers, venue team and officers throughout, so changes to the running order are handled smoothly.

  • Build, breakdown and overnight

Sets, stock, artwork and equipment are often most at risk before guests arrive and after they leave. We can secure the venue through build, rehearsals, breakdown and overnight.

On the night

Composed under pressure, ready for change.

Events rarely run exactly to plan. A delayed arrival, a sudden crowd at the door or a guest who has had one too many can change the atmosphere in moments. Our officers are briefed to spot the signs early and respond calmly, without drawing attention.

Every team works to a plan agreed with you beforehand, covering who makes decisions, how incidents are reported and when your producers or venue managers are brought in. If the night changes, the plan adapts with it.

  • Guests enjoy the occasion, talent stays on schedule and your event is remembered for the right reasons.

Planning your event

Planned well before the doors open

  1. 01

    The brief

We start with the essentials: the format, the venue, guest numbers and the people who need particular care. The earlier we are involved, the more smoothly everything else falls into place.

  2. 02

    The plan

We assess the venue and the risks, then set out team numbers, positions, timings, dress and communications in a security plan that sits alongside your running order.

  3. 03

    The briefing

Before the doors open, the whole team is briefed on the venue, the schedule, key guests and how to reach your producers, so everyone knows their role.

  4. 04

    The debrief

Afterwards, we talk through how the event went, anything that needed attention and what we would suggest for next time.

Questions

Frequently asked questions about event security

Event security

How much security will my event need?

The number of security officers depends on more than guest numbers. Venue layout, event activities, alcohol service, access points and timings all influence the level of cover required. An event security assessment helps establish suitable staffing, positions and supervision.

At what stage should we involve an event security company?

Involve your security provider early in the planning process. This gives time to review the venue, identify potential risks and agree how guests, staff and suppliers will move through the space. Early planning also helps coordinate security with your event organiser and venue team.

Can event security feel welcoming rather than intimidating?

Absolutely. Approachable officers, appropriate presentation and clear communication help guests feel comfortable from arrival. For luxury events, launches and private functions, security should complement the occasion while remaining attentive and ready to respond.

What is the difference between event security and event stewards?

Event stewards generally help with directions, seating and guest movement. Security officers carry out protective duties, which may include managing access, conducting authorised searches and responding to security incidents. Some activities require an appropriate SIA licence, so roles should be clearly defined before the event.

How can we stop uninvited guests entering a private event?

A clear entry process helps protect private events. Depending on the brief, this may involve guest list checks, ticket validation, accreditation or coordination with hosts. Separate arrangements for suppliers, performers and staff can also help keep access controlled without delaying invited guests.

Can you help manage queues and busy arrival periods?

Queue management should account for expected arrival times, entrance capacity and the space available outside the venue. Clearly positioned staff and good communication help guests reach the correct entrance and keep routes accessible. Planning should also cover departure, when large numbers may leave together.

What security arrangements should we consider for VIP guests?

VIP security planning should reflect the individual, the event and any identified risks. Considerations may include discreet arrivals, restricted areas and coordination with an existing protection team. Any close protection duties should be assigned to appropriately licensed personnel.

Who takes control if an incident happens during the event?

Responsibilities and escalation routes should be agreed before doors open. The security team needs to know who leads the event response, how to contact venue management and when emergency services are required. Briefings should cover evacuation arrangements, medical assistance and communication between teams.

Does event security cover setup and breakdown?

It can. Equipment, stock and production areas may need protection before guests arrive and after they leave. Including setup, overnight periods and breakdown in your brief helps establish whether contractor access control, patrols or additional coverage are needed.

What should I send Vigilo when requesting an event security quote?

Share your event date, venue, expected attendance and operating times, including setup and breakdown. Details about the event format, alcohol service, guest access and any specific concerns will help define the requirements. Vigilo can then discuss a tailored event security proposal with you.
